This guide explains the step-by-step process for creating and sending a newsletter using Mailchimp, seamlessly integrated with SwingWorks. Follow these instructions to ensure smooth execution and effective communication with your audience.
Steps to Send a Newsletter
Step 1: Create a Mailchimp Account
- Visit Mailchimp’s signup page.
- Follow the prompts to create your account.
Step 2: Determine Your Audience List
Use one of the following methods to define your audience list in Mailchimp:
A. Automatically Synchronize Your SwingWorks Contacts with Mailchimp
The following initial setup is necessary:

Store Mailchimp Information in SwingWorks:
- Log in to SwingWorks.
- Click on "MY PROFILE".
- Click on "Other Integrations".
- Click on "Edit".
- Retrieve your API key from Mailchimp:
- Log into Mailchimp.
- Click on your profile icon in the bottom left corner.
- Go to "Account" > "Extras" > "API keys".
- Generate a new API key if none exists and copy it.
- Paste the API key into the field provided in SwingWorks.
- Select the name of your Mailchimp audience list from the drop-down menu.
- Click on "OK" to save. Any contacts who opted in for the newsletter within SwingWorks will now be automatically added to Mailchimp.

Save Webhook Within Mailchimp:
- Log into Mailchimp.
- Click on "Audience".
- Select the audience stored in SwingWorks from the drop-down menu (if applicable).
- Click on "Manage Audiences" > "Settings".
- Click on "Webhooks".
- Click on "Create New Webhook".
- Under "Callback URL", enter:
https://golf.swingworks.de/api/mailchimp/callback. - Click on "Save".
Once set up, synchronization is automated:
- New contacts added to your SwingWorks contact list (who have agreed to receive newsletters) are automatically added to Mailchimp.
- Unsubscribes are updated in SwingWorks automatically.
Note: SwingWorks only synchronizes contacts who have agreed to receive the newsletter, in compliance with GDPR guidelines.
B. Manually Update Your Contacts to Mailchimp
Use this method when you prefer manual control over your contact list updates or if you have a one-time list to upload.

Export your SwingWorks contact list as a CSV file:
- Use the "Export Contacts into CSV" option under your SwingWorks contact table.

Import the CSV file into Mailchimp:
- Navigate to Audience > Import Contacts in Mailchimp and follow the steps.
Tips:
- Mailchimp automatically ignores re-uploaded contacts who have unsubscribed or already exist in its database.
- Ensure all customers on the list have given their approval for the newsletter before uploading.
Step 3: Create Your First Newsletter
- Follow Mailchimp’s detailed guide on creating a campaign: Mailchimp Help: Create a Regular Email Campaign.
- Log into Mailchimp and go to Campaigns > Create Campaign.
- Design your email using Mailchimp’s drag-and-drop builder or templates.
- Add your content, including text, images, and links.
- Preview and send a test email.
Step 4: Send the Newsletter
- Choose whether to send the email immediately or schedule it for later.
- Confirm the audience and click Send Now or Schedule.
Step 5: Monitor Performance
Review analytics in Mailchimp’s Reports section.
