Getting started as an Indoor Golf Studio Manager

As an Indoor Golf Studio Manager, you set up your simulators (RoomBoxes), your team, and the activities offered at your location.

1) Add your location

  • Go to MY GOLF BUSINESS → LOCATION MANAGEMENT → +

  • Enter Name, Address, Contact Info

  • Click OK to Save

2) Define and configure RoomBox calendars

  • Define: Go to MY GOLF BUSINESS → LOCATION MANAGEMENT → select a location -> Edit Calendars → + -> select the calendar type RoomBox

  • Configure: Go to MY GOLF BUSINESS → LOCATION MANEGEMENT → select a location -> Edit Calendars -> select a calendar ->  Adjust Calendar Settings, Private Appointment Types, etc.

3) (Optional) Invite staff and partner Pros

  • Go to MY GOLF BUSINESS → LOCATION MANAGEMENT → select a location -> Edit Calendars → + -> select the calendar type Pro

  • Enter the person’s Email

  • Click OK to send an Register Invitation

4) (Optional) Configure staff calendars

  • For independent Pros (self-managing under their personal profile):

    • Availability: MY PROFILE → Calendar Settings

    • Private appointment types: MY PROFILE → Private Appointment Management → +

    • Profile & photo: MY PROFILE → Edit

    • Onboarding: Direct them to Getting started as a Pro (availability → appointment types → scheduling link)

  • For salaried staff (configured by the manager):

    • Go to MY GOLF BUSINESS → LOCATION MANAGEMENT → select a location -> Edit Calendars -> select a calendar

    • Adjust Calendar Settings, Private Appointment Management, etc.

5) (Optional)Share fixed resources (e.g. RoomBoxes) across staff

  • Follow instructions under: https://swingworks-help.zendesk.com/hc/de/articles/29792682365981-Sharing-fixed-resources-such-as-RoomBoxes-with-on-site-golf-professionals

  • ✅ This ensures the correct simulator is automatically blocked when your staff is booked

6) (Optional) Mark yourself as a Head Pro and offer lessons

  • Go to MY PROFILE → Edit

  • Enable I am a trainer and offer appointments

  • Save changes

  • Then follow the Getting started as a Pro guide to set up your own availability, private appointment types, and scheduling link

✅ Done! Your Indoor Golf Studio is now ready to manage simulators, staff, and client bookings.
